The busiest day
The number of rentals you can sell on a peak day is set by the gap between a unit coming back and the same unit going out again.
Take sixty units, an eight-hour selling day and a three-hour rental. If a returned unit is bookable again thirty minutes after it comes back, the cycle is three and a half hours and each unit turns 2.3 times. That is roughly 137 rentals on the day.
Cut the turn to ten minutes and the cycle drops to 3.2 hours. Each unit turns 2.5 times and the day holds about 151 rentals. Fourteen rentals, from twenty minutes of process, on inventory you already own.
Those are illustrative numbers rather than a promise, and the shape of them holds for any operation that turns units more than once a day. At a $45 rental that difference is $630 on a Saturday. Across a ninety-day season with twenty peak days in it, it is worth more than the units you were thinking of buying.
Almost none of them go on cleaning. The time goes on finding the unit that came back, working out whether it is damaged, deciding who decides that, and then telling the board it is available.
On most operations that last step is a person walking to a counter and telling somebody else, or a message in a group chat that gets read twenty minutes later. The unit was fit at 12:04 and was sellable at 12:31, and the twenty-seven minutes in between were pure administration.
Worse than a slow turn is a unit that never goes back on the board at all. It came back on Thursday, somebody meant to check it, and it sat against the fence until the end of the month.
Nothing in a booking system flags this, because as far as the software is concerned that unit simply had no bookings. The revenue it did not earn is invisible, which is why operators find these units by walking the yard rather than by reading a report.
The tell is a utilisation figure per unit rather than across the fleet. A fleet at 62% can be forty units at 80% and twenty units at 20%, and only one of those two pictures is a purchasing decision.
Give returns a physical lane and a rule: nothing leaves the lane until somebody has said it is fit. A unit in the lane is off the board by default rather than on it.
Put the inspection on the person receiving the unit rather than on a manager who has to be found. A four-item check that takes ninety seconds beats a twelve-item check that waits for the one member of staff qualified to do it.
Track availability per unit rather than per category, even in a spreadsheet, so a unit that has not moved in three weeks is visible on the same sheet you already open every morning.
A return is recorded against the unit that came back rather than against the booking. The condition, the fuel or charge state and anything owing goes on the unit's own record, and the unit stays off the board until it is marked fit to go out.
That means a damaged unit cannot be sold on Sunday because the return was logged on Saturday. It also means the twenty-seven minutes of administration above happen on a phone at the point of return by the person holding the unit.

If the turn is thirty minutes because a board has to dry, no system in the category will shorten it. Drying time, charge time and service intervals are physical, and a platform that pretends otherwise sells you an availability figure you cannot honour.
The gain here is the administrative half of the turn. That is usually most of it, and it is worth counting your own before deciding.
Turnaround time is the gap between a unit coming back from one rental and being bookable for the next. It sets the ceiling on how many rentals a fixed number of units can produce on a busy day, so on a peak Saturday it is worth more than any other number in the operation.
Most of a typical turn is administrative rather than physical: finding the unit, deciding whether it is fit, and telling the availability board about it. Recording the return against the unit at the point it comes back, on a phone, removes that half.
Timestamp two events per unit: the moment it comes back into your possession and the moment it becomes bookable again. The gap is the turn. Most operators find the second timestamp does not exist anywhere, which is itself the finding.
Shorten the turn first, because it costs process rather than capital and it raises utilisation on the units you own. Buying units to cover a slow turn locks the slow turn into your cost base.
