Heavy equipment rental

Route Planning for Heavy equipment rental companies

Ask a heavy equipment rental operator what breaks and the answer is never the booking form. The constraint here is a trailer and a driver free on the day the machine is.

Heavy equipment rental operations, specifically

Delivery is the product. A machine moves on a trailer with its own weight class, its own route restrictions and its own driver, so the booking has to hold a float as well as a machine. Two units available and one truck free means one rental, and software that models only the machine will oversell the day.

Billing runs on the meter rather than the calendar. Day, week and month rates sit alongside engine hours, and a machine returned at 47 hours against an 8-hour day allowance is an invoice line rather than an argument. Fuel, delivery, environmental and damage waiver all land on the same order.

Service takes a machine off the board wherever it is standing. Hour-based intervals, annual inspections on lifts and hoists, and a fault reported from a site all have to hold a unit back until it is signed off. Condition photographs at drop and at collection are what settle a bent bucket that arrives back with nobody claiming it.

Route planning

What the platform does here is narrow and specific. Delivery and pickup runs sequenced by address, time window and vehicle capacity, built in rather than run from a second application.

The problem it removes: a driver crossing the same road four times because the run came out of a spreadsheet. The number to watch is stops per driver hour, and the miles behind them.

Runs are built from the delivery addresses and time windows already captured at booking, so nothing is re-keyed and nothing is exported. Vehicle capacity acts as a constraint, which stops a run being built that the van cannot carry.

The addresses come off the reservations. The run is built as one loop that turns right out of the depot and right back into it, so no road is driven twice and no stop is passed before its window opens.

Every stop closes with a photo, a timestamp and a location, which is what settles a delivery dispute in October.

What it costs

Bodhisys charges no monthly fee. The platform takes 4.5%, added to each reservation and paid by your customer rather than by you.

How does Bodhisys handle route planning for heavy equipment rental companies?

Bodhisys is rental operations software for companies that rent things, vehicles and experiences. It was built for rental inventory rather than adapted from a ticketing system, and it has been in market since 2023.

For heavy equipment rental companies, delivery and pickup runs sequenced by address, time window and vehicle capacity, built in rather than run from a second application.

There is no monthly fee. A 4.5% charge is added to each reservation and paid by your customer at checkout.

Bodhisys is younger than FareHarbor and Peek Pro and has a smaller install base. An operator whose revenue is mostly timed tours, or who needs a long list of third-party integrations today, is better served by an incumbent.

Questions

How is this different from a tour booking flow?

A tour flow sells a seat at a time. A rental flow has to capture what leaves, where it goes, when it comes back and who is responsible for it in between.

What does Bodhisys cost?

There is no monthly fee. A 4.5% charge is added to each reservation and paid by your customer at checkout.

Can we move our existing data across?

Yes. Customers, future reservations and booking history migrate from FareHarbor, Peek Pro and Bike Rental Manager.
