The damage argument you cannot win in October

The scratch is real. The question is whether it was there on Tuesday, and the answer is a photograph or a memory.

Two people, two memories, one deposit

A scooter comes back with a cracked fairing. The renter says it was cracked when they took it. The member of staff who handed it over is a seasonal hire who left in September.

Without a photograph you have a choice between charging a customer you cannot prove anything against and absorbing a repair you did not cause. Most operators absorb it, which is the correct decision and an expensive habit.

For scooter, jet ski, powersports and car operators, the difference between a profitable season and a bad one is often a single incident with no photographic record of the handover.

The compounding version

Undocumented damage does not stay one incident. Once a unit carries a scratch nobody can date, every future renter inherits the benefit of the doubt on that panel.

By August a heavily used unit has accumulated a set of unattributable marks, and the operator has quietly stopped charging for damage on it at all. That is the real cost, and it is invisible in any report.

What the record has to do

It has to belong to the unit rather than to the booking. Damage that lands on the thing that was damaged follows it for the rest of its life, and the next handover starts from a known state.

It has to exist at both ends. A collection photograph without a return photograph proves nothing, and the reverse is worse.

And it has to be retrievable months later by somebody who was not there. A record in a group chat is a record that has expired.

A walkaround that takes ninety seconds

Fix the angles. Four photographs of a scooter, six of a car, taken from the same positions every time, plus fuel, odometer or charge state where they apply.

Do it in front of the renter at handover. The point is partly the record and partly that a renter who watched you photograph the panel is a renter who mentions the kerb.

Repeat it at return, same angles, before the unit is moved or washed. A washed unit is a unit whose evidence has been rinsed off.

What the platform holds

Return condition is recorded against the unit, and the unit stays off the board until it is marked fit. The history sits on the unit record beside its serial, its service state and every reservation it has been out on.

The delivery record is separate on purpose. A drop photograph proves delivery to a location at a time. Condition is a different record, taken at handover, and it belongs to the unit rather than to the address.

A returned bike sits out of the sellable pool until the inspection clears it. B-142 stays there until the rim is replaced, whatever Saturday looks like.

Re-availability is gated on the condition record, so a damaged unit cannot be sold again by accident.

What evidence cannot do

It does not decide a card dispute. It gives you a dated record to respond with, and the network decides.

It also does not make the conversation with a guest pleasant. What it does is make the conversation short, and let you charge fairly rather than charging nobody.

How should a rental company document damage?

With photographs at both ends of the rental, taken from fixed angles, recorded against the individual unit rather than against the booking. Fuel, odometer or charge state go on the same record where they apply, and the return photographs are taken before the unit is washed or moved.

Holding condition against the unit means the next handover starts from a known state, which stops undocumented marks accumulating until an operator gives up charging for damage on that unit at all.

Is a delivery photo the same as a condition photo?

No. A delivery photo proves the drop happened at a location and a time. Condition evidence is taken at handover and belongs to the unit.
