The dispute arrives on Tuesday

Saturday morning, six chairs and two umbrellas left at a villa nobody was home at. Tuesday afternoon, an email saying the order never came and a card dispute two weeks after that.

The driver remembers the house. They remember the blue door, probably. They also did forty-one other stops that morning and cannot separate this one from the others by Tuesday, which is the point.

Unattended delivery is the normal case in beach gear, baby gear and much of party hire. It is also the case with the weakest evidence unless somebody builds the record deliberately.

What counts as proof

Four things, and they have to be captured at the moment of the drop. A photograph of the items where they were left. The location the photograph was taken. The time it was taken. And the delivery of that record to the guest straight away.

The last one does most of the work. A photograph sitting in your system is evidence in a dispute. A photograph in the guest's hand at 8:14 in the morning usually means there is no dispute, because the question gets answered before it is asked.

Access detail belongs there too. A lock code, a gate code or a note about where the items were left is part of the same record and it removes the second most common call of the morning.

The chargeback case

A card dispute is decided on documentation. The stronger your record of what was delivered, where and when, the better the case you can put together, and the response window is short enough that a scramble through camera rolls loses by default.

Attaching the proof to the reservation is what makes it retrievable in November. Photographs in a phone gallery, sorted by time, in the possession of a member of staff who left in September, are not a record you can act on.

Nobody wins every dispute. What you can control is whether the evidence exists and how long it takes to find.

How to do it today with phones you already have

Turn location data on for the camera app, and make one photograph per stop the rule rather than the exception. The photograph includes something identifying about the property in the frame.

Send it to the guest at the drop, by text, from the number they already have.

File it against the order the same day. A photograph that cannot be tied back to a reservation is a picture of some chairs.

What proof does not cover

It proves delivery to a location at a time. It is not a signature-on-glass identity check, and it says nothing about who later took the items from the porch.

It also will not settle a disagreement about condition unless the photograph shows it. That is a different record, taken at handover, and it belongs to the unit rather than to the address.

What counts as proof of delivery for a rental company?

A photograph of the items where they were left, the location it was taken, the time it was taken, and that record reaching the guest immediately. Attached to the reservation rather than sitting in a phone gallery, so it can be found months later when a card dispute arrives.

Sending it at the moment of the drop removes most disputes before they start, because the guest has the answer before they ask the question. It proves delivery to a location at a time, and it says nothing about who later took the items from the porch.
